Pricing Policy & Early Years Funding Entitlement

At Rainbow Nursery we believe in open communication with all parents / carers and staff and are therefore presenting this pricing policy in order to ensure that everyone fully understands our charging structure.  We are open for 51 weeks a year, closing Bank Holidays. In order to secure your child’s place her at rainbow you are required to pay a deposit of one weeks fees in advance i.e. when your child starts their first session you must pay two weeks fees. A deposit does not apply to children only accessing the Early Years Funding .  A months notice is required before leaving the nursery.

Early Years Funding 

We have detailed here how your child can access their funded early education and childcare hours here at Rainbow. All children are eligable the term following their 3rd birthday.      From September 2017 there will be 3 funded early year’s schemes available in Kent.  Early years settings are not obliged to accept these schemes as funding for children’s fees.  However, we realise the value for children who attend a high quality early years setting along with the help funding can give parents as it can significantly reduce the fees they pay.  We have worked really hard to ensure the funded hours do not negatively impact the service that we deliver, allowing your children to access everything that we deliver in our all – inclusive service at a much lower cost once they are eligible for funding.

The three schemes available are:

  1. Free For 2

  2. Universal 15 hours for all 3 and 4 year olds (the term after they turn 3)

  3. Additional 15 hours for 3 and 4 year olds of working parents. ( please note that this cannot be claimed at Rainbow unless we are already claiming your child’s full universal funding)

Stretching the funding

As we are a full day care nursery which opens 51 weeks a year we will be offering our funded sessions as ‘stretched’ only. This means that your child will receive their 570 hours (Universal Funding) or 1140 hours (Universal and Additional Working Parents Funding – limited places) stretched over the whole year for 48 weeks.  We allow funding to be claimed in 3, 4, 5 or 8 hour blocks each day depending on sessions.

If you wish to claim the universal hours then funded hours per week must not exceed 12

If you wish to claim the universal and additional funding then the funded hours per week must not exceed 24.

Please note that if you choose any of our sessions other than the limited 1pm to 4pm session for your child to attend there will be an additional service charge to pay.

You do not have to claim the full number of hours per week if you do not wish to, but please remember that in order to claim any part of the additional working parents funding you MUST be claiming your full allocation of universal funding here at Rainbow.

Additional Service Charge

Please note that there is an additional service charge for each session.  Our service charge includes but is not limited to any additional hours within the funded session, snacks, resources, consumables, ‘My Rainbow Days’ and any other additional services.  We are not allowed to use funding for such items and would not be able to maintain the high quality provision that we offer without making these charges. As you can see from the chart below, using the funding significantly reduces your daily fees while the small amount that we charge enables us to still deliver our quality service to all our children and families.

Please note that 570 / 1140 hours are stretched across the year.  This means that there will be some chargeable hours in addition to those that are funded.  We are able to confirm how many when we receive notification of your required sessions.

Why is my place not free?                                                                                                                 

Funding is only to be used for the core Early Years Foundation Stage and NOT anything which we offer above this.  There are some early years providers who are offering hours completely ‘free’ and we have considered this but the cuts we would have to make to our service to accommodate this would be considerable and we feel, detrimental to our provision. We are determined to provide a high quality nursery for our children where children are individuals and become part of the Rainbow family; we cannot achieve this on the current level of funding we receive from Kent County Council alone. If you wish to access a completely ‘free’ place we do have a limited number of funded sessions only.

If you are eligible you will need to show us a copy of the confirmation email and fill out a parental declaration along with showing us your child’s birth certificate or passport.  You do not need to reapply once you have been given eligibility even if your circumstances change.

Universal 570 Hours of Funded Early Years Education and Care for 3 & 4 year olds

All 3 & 4 year olds are eligible the term after their 3rd birthday.

You will need to fill out a Parental Declaration along with showing us a copy of your child’s birth certificate or passport.

Additional 570 Hours Funding for Working Parents            

Please remember that to claim your additional working parent hours at Rainbow we will require you to be claiming the full 570 universal hours above with us too.

This site will sign post you to a government eligibility page.  If eligible you will be given an 11 digit code starting ‘5000’.  We will need this code in order to validate your claim. Please note that this code is only valid for a set amount of time and it is your responsibility to ensure a new code is provided as needed or we will not be awarded on going funding and you will be charged.  If your circumstances change then you may go into the ‘grace period’ for funding and you must follow the directions sent to you by KCC. Please remember that we will request that you pay any ongoing fees should you not provide us with the required information in a timely manner or fall out of eligibility without the required notice given as per our terms and conditions.

You will need to complete a Parental Declaration Form along with showing us a copy of your child’s birth certificate or passport.

All children MUST attend for a minimum of two sessions per week and those claiming the working parents funding must be claiming the full universal funding at Rainbow.

Our overheads remain the same regardless of attendance so you will still be charged any fees you pay if your child is absent for any reason ( including holidays). We are unable to refund, swap or change any sessions if not attended.  All terms and conditions regardless of funding are subject to change, this is dependent on any changes which the Government introduce relating to any funding schemes. We will give you as much notice as practically possible of any change.


Fees are payable weekly or monthly in advance, in accordance with the rates in force at the time. Fees are reviewed annually in April of each year, or in the event of any changes to the Code of Practice. Any changes to current rates will be advised in writing at least one month in advance. If you wish to change or reduce your sessions one months notice should be given.

Illness / Absence

No refund will be given in the event of a child’s absence due to illness, holiday or any other reason.


Should the Nursery be unable to open due to bad weather or any other unforeseen circumstance, parents will be refunded for that session or have it discounted from the following month. Should closure need to take place part way through a session a refund will not be given in this instance.

Late Pick Up

Children must be collected promptly at the end of the session.   Should a parent fail to collect their child at this time a late collection charge of £10.00 per 15 minutes or part of will result.

Late Payments

Fees are to be paid a week or month in advance. If any fees due are more than 14 days late you will incur a 15% charge. For any correspondence sent to you regarding non / late payment of fees you will incur a charge of £25.00 per letter.  If you are experiencing financial hardship please speak, in confidence, to Claire or Valerie so alternative payment arrangements can be made. If without negotiation, fees are not settled we are left with no alternative but to withdraw your child’s place and if necessary take legal action to recover the amount owed. Any returned or represented cheques will incur a £4.00 fee

Children in receipt of the Free Early Education Entitlement will not be able to access additional fee paying hours outside their Free Early Education until any outstanding fees are settled.
